About the role
Trustpair is looking for an experienced, hands-on Freelance Office Manager & HR Administration Specialist to support our People team on an interim basis.
Reporting to Aziza, our People Development & Operations Manager, you will take immediate ownership of the day-to-day management of our Paris office while providing additional HR administrative support.
We are looking for an autonomous, immediately operational profile who can step into the role with minimal onboarding, identify what needs to be done and ensure a consistently high standard of service for employees and visitors.
The scope is approximately:
80% Office Management and Workplace Experience
20% HR Administration support (no payroll responsibilities)
Engagement details:
Freelance assignment
Part-time: approximately 2.5 to 3 days per week
Flexible working pattern: this could be three full days per week or shorter hours spread across the working week, provided the overall availability is equivalent
Primarily onsite at our Paris office
Ideally available to start between late August and early September 2026

What you'll do:
Office Management and Workplace Experience
You will take ownership of the smooth day-to-day operation of our Paris office, ensuring it remains functional, welcoming and well organized.
Your responsibilities will include:
Managing the daily operations of the Paris office and maintaining a clean, functional and welcoming working environment
Acting as the main point of contact for office-related requests, providers and building management
Identifying and resolving day-to-day facilities issues independently
Coordinating repairs, maintenance work and external service providers
Managing office inventories and purchasing, including supplies, equipment, snacks and beverages
Monitoring consumption, anticipating requirements and preventing shortages
Benchmarking, selecting and coordinating providers while maintaining appropriate cost and service standards
Welcoming candidates, partners, providers and other external visitors
Coordinating the preparation of workspaces and equipment for new joiners
Supporting internal events and employee-experience initiatives, such as team gatherings, monthly apéros and other activities
Maintaining clear office-management documentation, processes, inventories and provider information
Identifying practical improvements to make the office more efficient and enjoyable
HR Administration Support
Working alongside the People team, you will provide reliable and accurate support across recurring HR administrative activities.
Your responsibilities will include:
Supporting the preparation of HR documents using existing processes and templates
Coordinating administrative steps connected to employee onboarding and offboarding
Maintaining HR files, trackers and internal documentation
Following up on missing information or documents with employees and managers
Responding to routine employee requests and redirecting more complex questions to the appropriate People team member
Supporting other ad hoc People Operations projects when required
Payroll preparation and processing are not included in this assignment.

Must-Haves
At least 3 years of relevant professional experience across office management, workplace operations, HR administration or People Operations
Demonstrated hands-on experience managing an office independently
Previous experience supporting HR administrative processes
Ability to become operational quickly and work with limited supervision
Excellent organisational skills, with the ability to manage several priorities simultaneously
A proactive and resourceful approach to solving practical problems
Strong attention to detail, particularly when handling HR information and administrative documentation
Strong service mindset and excellent interpersonal skills
Ability to handle confidential employee information with discretion
Professional fluency in both French and English, written and spoken
Proficiency with Google Workspace or Microsoft Office and confidence learning tools such as Slack and Notion
Based in Paris or the surrounding area and available to work regularly from our Paris office
Able to work under a freelance arrangement in France
